Job Summary: Serves as the Philanthropy Administrative Coordinator. This position is responsible for supporting the Director of Development and the Major Giving Team. The position will assist directly with donor stewardship, written communications, and calendar scheduling/coordination. Among the duties assigned to this position are the following:

Management of Director of Development’s professional calendar and activities, including travel.
Coordinates donor activities for the Director of Development and Major Gifts Team.
Assists with writing and producing donor and sponsorship proposals, gift agreements, and letters.
Records Director of Development donor activity and proposals in RE; assists gift officers as requested.
Procures donor cards, hosts gifts, florals, and thank you gifts, as directed; manages delivery coordination.
Assists in scheduling internal meetings as needed for the Director of Development.
Assists in planning donor events including, and not limited to: Celebration of the Future, Garden to Table Dinners, and Garden Visionaries Dinner.
Works cross-departmentally to ensure all donor visits are planned appropriately executed with excellence.
Communicates effectively with donors on behalf of the Garden to create positive stewardship opportunities while advancing major giving efforts.
Receives and tracks donor-related event reservations; assists with event check-in as needed.
Reconciles monthly expenses of the Director of Development.
Tracks and processes Major Giving invoices.
Assists the Development Manager with overflow tasks as requested.

Minimum Qualifications:

Initiative-taking, adaptable, and open to innovative ideas.
Attention to detail and ability to perform repetitive tasks.
Strong formal writing skills.
Fluent in the use of Microsoft Office including Word, PowerPoint, and Excel.
Three-years minimum experience as a non-profit or private sector administrative support staff.
Must possess a valid driver’s license and good driver’s record.
Basic understanding of Raiser’s Edge (additional training will be provided)
A Bachelor’s Degree, significant work experience related to this position may forgo this requirement.

Ability to perform mail merges, print, and postage large mailings.
Ability to manage and coordinate multiple schedules.
Strong organizational and time-management skills.
Effective communication and problem-solving abilities.
Adherence to donor and volunteer confidentiality processes.
Ability to work well within a diverse and multicultural workforce, including volunteers.
Ability to work as part of a team and individually, with little or no supervision.
Working Conditions:

Normal work hours are Monday-Friday during business hours; must have flexible schedule to include evenings and weekends as donor events and activities dictate.
