Database Coordinator

Job Summary:
The Database Coordinator is an important role and must be organized, give great attention to detail and be cognizant of the time sensitive goals of the department and applicable tax laws. This position requires a comprehensive understanding of gift processing principles and practices and IRS standards; mastery of Raiser’s Edge; and high levels of professionalism, collegiality, self-motivation, organization and familiarity with the goals and of objectives of Avow Foundation and the management team.
The Database Coordinator must be honest, trustworthy and abide by the strictest guidelines, must have an even disposition and be able to deal effectively and politely with all customer groups.

 Essential Functions:
 Detect noncompliance and follow up as appropriate
 Manages data processing to ensure accurate and timely gift processing
 Provides analysis of databases and report findings
 Develops and maintains a training guide including written policies, procedures and guidelines for all essential
department functions and practices
 Oversee all aspects of the Raiser’s Edge database
 Manages timeline for appeals and mailings assuring to meet target dates
 Assists in the selection and creation of donor criteria for mailings and appeals
 Prepares and uses queries, reports, imports and exports in Raiser’s Edge to support organizational needs
 Assists in the design and implementation of programs such as Moves Management, Prospect Research, Event
module and Planned Giving module in Raiser’s Edge
 Provides staff with guidance and training in the set-up of dashboards, reports and homepage in Raiser’s Edge
 Provides recommendations for possible add-on modules to Raiser’s Edge that would be beneficial to Avow
 Provides tutoring to other staff members in any advanced training received in Raiser’s Edge
 Monitors IRS guidelines as they relate to policy changes at Avow ensuring compliance in all regulatory areas
 Updates Avow policies/procedures according to IRS guidelines/changes
 Leads efforts to assure that creation and processing of donation appeals are processed timely
 Is an active member of capital campaigns in support of donor records, research and reporting as required
 Manages the Raiser’s Edge database ensuring the integrity and security of information
 Manages electronic systems and security of all users for:
o Raiser’s Edge
o Paypal/flow
o Blackbaud (.com; merchant services; payment services, citrix/hosting)
o Elavon payment services
 Liaison between Avow and Blackbaud and other professional consultants in fundraising
 Responsible for monthly donation revenues and to reconcile with finance department
 Works with senior management in support of required and requested board reports
 Ensures compliance with HIPAA, JCAHO, human resource, safety and all regulatory policies as set forth by
 Other responsibilities as assigned by the Senior Vice President of Philanthropy    

Bachelor’s Degree required. Five years of non-profit education and/or experience preferred; Five years or more of
related database management/data entry experience and/or training; or equivalent combination of education and
experience preferred.

Computer Skills:
Advanced typing/keyboarding skills, data entry and varied software programs. Database software and professional email
communications required.

Certificates, Licenses, Registrations:
Valid Florida driver’s license. CFRE a plus.
