Database Specialist

Job Description:

Summary

The Database Specialist is responsible for all data entry and database management to assure the maintenance of the donor database in Raiser’s Edge and all reports that are required to be generated from the database system, while maintaining confidentiality of all proprietary information in the department and system.

Essential Duties and Responsibilities

  • Accurately and timely enters all pledges, gifts, and in-kind contributions received through the Development Office, the Guadalupe Center and the Guadalupe Resale Shop in Raisers Edge.

  • Maintains the highest level of confidentiality and professionalism protecting donor’s privacy.

  • Prepares written and electronic acknowledgement letters, pledge reminders and notices.

  • Prepares monthly reconciliation reports in coordination with the CFO, Finance Department, and Vice President for Development.

  • Prepares invitation lists for all events and development mailings.

  • Enters volunteer management information to track and report constituent involvement.

  • Develops policies and procedures for all gift entry in compliance with IRS regulations and best practices.

  • Trains and supervises other professional staff and volunteers on updating records, entering actions, and retrieving reports.

  • Works with outside vendors such as Raisers Edge, Blackbaud, Merchant Payment companies, or event software companies to import and export data.

  • Maintains connection with Blackbaud and its Users Group to stay informed on best practices and attend webinars or conferences to remain current on best practices.

  • Assists the Development Office as needed at Special Events to assist with registration, auction tracking and recording, or whatever is needed.

  • Ability to work cooperatively with all staff, volunteers, and teams

  • Excellent computer skills

  • Proficiency in Raiser’s Edge and Microsoft Office

  • Team Player

 

Education and/or Experience

  • Associate’s degree required (B.A. or B.S. preferred)

  • Five years previous Raiser’s Edge experience preferred

Working Conditions

  • Typically, an indoor office environment

  • Minimal lifting may be required not to exceed 25 pounds

  • May be required to transport oneself and/or supplies off-site to attend meetings, conferences, workshops, seminars, etc.
