Operations Manager

Job Description:

Resilient Retreat, Inc. is a new and innovative approach to help those impacted by trauma and abuse. A vast array of inter-disciplinary evidence-based programs will be offered in a comforting three-to-five day retreat on 84 acres of land in Sarasota. Free programming will be offered to those who have suffered from abuse and first responders who witness trauma every day in the workplace (e.g., law enforcement, advocates).

The Operations Manager is responsible for designing, creating, and optimizing systems and tools to make the Resilient Retreat team work efficiently in support of the mission. This includes developing a platform and infrastructure for the organization, including policies, protocols, financial administration, data base management, on-boarding, benefits administration, payroll, donor acknowledgements, donor database management, compliance, safety, and supporting programming needs.  The Operations Manager will report directly to the Executive Director (or Board Chair in absence of an Executive Director). Given that Resilient Retreat is a new organization, this role will be “hands-on” until such time we establish ourselves and begin to grow. The Operations Manager will have the opportunity to leave a lasting impact on the systems, policies and protocols within the organization.


  • Assists in the onboarding process for board members and staff and oversees benefits and payroll administration
  • Performs general office administrative/clerical duties and errands
  • Develop, implement and review operational policies and procedures
  • Ensures safety and compliance policies and procedures are current, up to date, and fully implemented
  • Oversees financial aspects of the organization, such as using Quickbooks and creating financial reports
  • Assists with meeting logistics, materials, and maintains records
  • Creates, maintains, and enters information into donor and client databases
  • Creates donor acknowledgements and coordinates acknowledgement letter process
  • Manages social media, website, blog, and newsletter in coordination with the Development Director
  • May support donor event coordination as needed
  • Interfaces with IT/tech support as needed
  • Assists in programming needs, such as scheduling appointments and assisting trauma survivors at appointments
  • Approaches all work with a trauma-informed perspective


  • A passion for the Resilient Retreat vision and mission
  • Bachelor’s degree required
  • 5 plus years of experience in more than one operational area of a non-profit organization –systems & technology, finance, data, donor management & tracking, human resource policies & processes
  • Easily navigates technology and openness to learning new technology
  • Demonstrated excellence in collaboration, problem solving, organizational skills, and communication skills
  • Proficiency in QuickBooks, Excel, Word, and database management
