PURPOSE OF JOB:

Under the Vice President’s guidance and support, the Grants Manager oversees grant management processes for the Conservancy, including but not limited to: identification, grant writing, grant submission, grant reporting, and stewardship.  The Grants Manager works with all Department Directors in the submission of grant requests, evaluation of grant funding, and completion of follow-up reports. 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Works with the Vice President to manage a strategic process for the identification of potential funders; facilitates discussion with appropriate Department Directors related to grant-funding opportunities, writing and submission of grants, and writing and submission of funding reports.
  • Creates a project-management/time-management system to provide time tables for appropriate sequencing of the grant application and subsequent processes.
  • Provides oversight of the grant management, including:
    • Research and identification of grant opportunities.
    • Summarizing grant opportunities.
    • Meeting with Department Directors and/or program staff to discuss pursuing appropriate grants.
    • Preparing grant applications.
    • Submitting grant applications.
    • Tracking each application process.
    • Working with Department Directors to establish a procedure for evaluation of each funded grant’s use and stewardship.
    • Submitting grant reports.
    • Prepares reports for Management Team and select committees
  • Coordinates with Development Staff to maintain accurate information in Raisers Edge and in hard-copy files.
  • Supports Development Staff and Vice President by staffing special events and fundraising events when needed. 

ADDITIONAL DUTIES AND RESPONSIBILITIES:

  • Provides overall system for program planning of grants programs.
  • Works with the CFO and the Vice President to review revenue needs of each department and the Conservancy in order to establish annual fiscal year revenue goals.
  • Works with the Vice President, the CEO/President and the Department Directors in the identification, cultivation, and solicitation of grant funders. Assumes responsibility for and achieves grant-fundraising revenue as set forth in the annual budget.
  • Meets regularly with Department Directors and Program Managers to understand the needs for funding and how grant funding opportunities would provide financial assistance to specific needs, projects, and programs.

QUALIFICATIONS:

  • Bachelor’s degree and minimum five (5) years working in a nonprofit organization.
  • Excellent written skills, report writing, composition, and copy/proof reading, including grammar/spelling/punctuation.
  • Experience with operational planning, and program planning and evaluation in a nonprofit organization.
  • Ability to grasp complex ideas and translate into written proposals and grant applications.
  • Demonstrated successful proposal writing.
  • Strong research skills and abilities.
  • Ability to work collegially with staff and volunteers at all levels of the organization.
  • Proficient in Microsoft Office, including Word, Excel, Outlook, PowerPoint and experience with database management systems.
  • Excellent organizational skills, with attention to detail.
  • Demonstrated individual initiative and creativity.
  • Ability to manage multiple projects simultaneously.
  • Passion for conservation.

EDUCATION AND/OR EXPERIENCE:

Bachelor’s degree (B.A.) from four-year college or university; five years’ experience with nonprofit organizations.

ADDENDUM

SPECIFIC TASKS AS RELATED TO GRANT TRACKING

    • Once specific grant opportunity is agreed upon the Grant Coordinator will:
      • Gather budget information.
      • Gather pertinent information necessary to write the grant application.
      • Gather additional information about the Conservancy needed for the grant application.
      • Write the grant application.
      • Submit draft to Department Director and/or program staff for input and review.
      • Format and finalize grant application to meet the specific submission requirements of the funding organization.
      • Work with the CFO, when needed, to ensure that the grant budget is consistent with approved project budget and overall departmental budget.
      • Send final draft to VP and CEO for approval when needed.
      • Prepare final submission of grant request (on-line or hard copy.)
      • Record grant submission in electronic data base (Raisers Edge).
      • File copy of grant submission in “grants folder” on shared drive.
      • Track grants process.
      • Record results of grant process in RE.
      • Set up timetable for sending report on funded grant’s use.
      • Work with the Department Director and/or program staff to compile information for grant report.
      • Prepare grant report.
      • Submit grant report.
      • File grant report in RE and “grants folder”.
