JOB DESCRIPTION

Title: VOLUNTEER & RESOURCE MANAGER
Reports to: Chief Development Officer
Status: Full-time, Non-Exempt

Description:
Responsible for executing research, solicitation, and coordination of in-kind gift resources and oversight of over 400 volunteer core to The Shelter. Focus includes volunteer recruitment, new volunteer programs, volunteer training and orientation, volunteer recognition, special events, public speaking and community partner relations.

Requirements & Skills:
 Ability to learn and work in Donor Perfect and Volgistics data base systems
 Proficient in Excel and Word and strong computer skills
 Excellent relationship building skills
 Excellent interpersonal, verbal and written communication skills
 Highly responsible, able to self-manage and work with limited supervision
 Ability to handle the phone in a highly professional and engaging way
 Must be flexible
 Able to manage multiple tasks, projects and volunteers at one time
 A strong ability to intuitively identify the needs of The Shelter and proactively work to assist in fulfilling those needs
 The ability to recognize potential in volunteers regarding possible volunteer leadership opportunities, Guild/GADV members, and community
partners as well as potential resource support and refer them to appropriate staff

Duties:

Volunteers, Recruitment, Orientation, and Requirements
 Recruit volunteers for various Shelter programs
 Update and revise volunteer programs as necessary on website
 Interview potential volunteers to introduce and explain the volunteer program and provide program and shelter requirements
 Recruit potential Direct Service Volunteers to attend Core Competency training held quarterly at The Shelter
 Plan and execute volunteer outreach via e-mail, direct mail (newsletter) and telephone as needed
 Keep record of volunteer hours through Volgistics and report to appropriate management
 Manage Direct Service volunteers and ensure they have the proper training and required ongoing training hours as required by DCF and input into
Volgistics
 Stay in constant communication with Direct Service volunteers to ensure they are given proper resources for annual training and plenty of
notification of training deadlines
 Update website with proper annual training materials required by DCF and Shelter
 Maintain mandated DCF files on all Direct Service volunteers, including one time requirements as well as fiscal requirements

Development Support
 Work with the Development team to assist with agency fundraising events
 Work with Development team for presentation of monthly tours
 Work with Development team to brainstorm new and creative fundraising ideas and engagement
 Provide monthly volunteer and in-kind donations reports to Chief Development Officer and fiscal team

The Shelter Options Shoppe
 Review applications, initially interview and forward potential candidates to Options management
 Enter new Options volunteers into Volgistics system and assign a volunteer number
 Work with Options team to recruit volunteers for specific days and jobs needed
 Work with Options receiving team to ensure donations are brought to Shelter as needed
 Assist with coordination of volunteers and community partners for various group projects, including annual cleaning out the warehouse
The Shelter Guild
 Identify potential members and connect them to Shelter representative or Guild Membership Chairperson
 Throughout the year, secure donations for TL Cottages, Mothers Day, Birthdays or other needs to be used by Guild committees
 Brainstorm with Shelter representative and Guild members to create new volunteer opportunities and committees that support Emergency Shelter
and participants
 Record volunteer hours in Volgistics as submitted by The Guild members

Outside Presentations/ Events
 Represent The Shelter in the media
 Represent The Shelter at community presentations, fairs, and outside events
 Oversee event if it involves a gift of in-kind donations
 Assist with assigning shelter speakers if necessary
 Arrange to have in-kind donations picked up if necessary

Program Staff Support
 Work to recruit and train Direct Service volunteer candidates to fill Program staff needs
 Assign volunteers or community professionals to assist Advocates with participant groups sessions
 Assist with securing donated materials as requested by programs staff
 Work closely with Emergency Shelter team to ensure they have volunteer help
 Check with program staff to ensure in-kind needs are being met

Holiday and Back to School Drive
 Coordinate gift-drive campaign with corporations, area churches and community partners
 Schedule pick-up dates and volunteer participation
 Work with Program staff to collect participant information needed to select gifts and other needs
 Work closely with volunteers and staff to ensure gifts are distributed to participants and their children
 Collect, organize and distribute a large amount of donations in a very short period of time

In-Kind Gifts
 Research, solicit, and secure donations of essentials and oversee in-kind gift drives
 Maintain correspondence such as gift solicitations, volunteer and donation thank-you correspondence
 Maintain Ongoing Essentials list to be posted on website and used by all staff
 Complete reports as requested by community partners
 Coordinate cell phone collection advertisements, drop off locations, and pickup and report dollars earned

Volunteer Appreciation Luncheon
 Plan and oversee Volunteer Recognition in the spring; select venue, theme, solicit gifts, plan presentation and awards
 Assist with capturing photos throughout the year of volunteers in action
 Work with Program staff managers to select outstanding volunteers in their department
 Work closely with Communications Manager to design invite, communication, videos and themes

On Call Driver
 Recruit/hire and manage on call driver
 Assign ongoing deliveries
 Schedule and communicate ongoing and periodic pick up

Immokalee
 Support Shelly Stayer Shelter as needs arise
